Informational resource

This guide provides general informational guidance only. It is not legal, financial, or payment-processing advice. Chargeback procedures, evidence requirements, deadlines, and outcomes vary by payment provider, card network, transaction type, and applicable rules.

01

What Is a Chargeback?

Mi az a chargeback?

A chargeback is a payment dispute initiated through a cardholder's payment provider or issuing bank. It is different from a normal merchant-initiated refund: the cardholder challenges a transaction through the payment system, which can result in a formal dispute process.

01Client disputesThe cardholder challenges the transaction.
02Dispute initiatedThe payment ecosystem routes the dispute through the applicable process.
03Merchant notifiedThe Merchant receives the applicable dispute information and deadline.
04Evidence submittedThe Merchant may submit relevant supporting evidence.
05Review & outcomeThe payment provider/network process determines the applicable outcome.

Applicable response windows can be limited. Merchants should review the dispute notice and follow the deadline and evidence requirements provided by their payment provider.

Why Service Businesses Are Exposed

Miért érintett a szolgáltatói szektor?

Appointment-based businesses sell something different from a typical physical product: a specific time, specialist, room, or capacity allocation.

When a client cancels late or does not attend, the business may have limited opportunity to replace that appointment. This can make cancellation policies and payment records particularly important for businesses selling higher-value services.

TIME

A reserved appointment slot

CAPACITY

Staff, rooms, or specialist availability

REVENUE

A service opportunity that may be difficult to replace

03

What Did the Client Agree To?

Mit fogadott el az ügyfél?

For many cancellation- or service-related disputes, an important question is what terms were presented to the client, when they were presented, and what the client accepted. Relevant evidence can include the applicable policy text, acceptance records, booking information, communications, payment events, and appointment history.

What Strong Evidence Looks Like

Hogy néz ki az erős bizonyíték?

Presented before booking

Relevant cancellation or deposit terms are shown before the client commits to the booking.

Actual policy preserved

The specific version or text applicable at the time is retained rather than relying on a generic statement.

Timestamped acceptance

The record connects the client, booking, applicable policy, and acceptance event chronologically.

Amount matches

The payment amount can be reconciled with the amount and conditions disclosed to the client.

Appointment history

Relevant creation, modification, cancellation, reminder, and attendance events can be reconstructed.

05

What Weakens a Dispute Response

Mi gyengíti a vitarendezést?

A dispute response can become harder to support when the underlying record is incomplete, inconsistent, or created only after the dispute occurs.

×Verbal-only policies
×Vague cancellation language
×Terms introduced after booking
×Missing timestamps
×Evidence unrelated to the transaction
×Inconsistent transaction records
06

Build the Evidence Before the Dispute

Bizonyítéképítés már a vita előtt

One of the biggest operational problems is treating evidence as something to reconstruct only after a chargeback arrives. A stronger approach is to maintain accurate records as the customer relationship develops.

Principle

Don't reconstruct the transaction.Record it as it happens.

The goal is simple: maintain an accurate, chronological record of the booking, the terms presented, the customer's interaction with those terms, and the relevant payment and appointment events.

Record it as it happens.
